How to Use SharePoint Online to Keep You Out of Trouble


Are you getting trouble how to start using SharePoint Online? Worry no more because this basic tutorial will save your ass! 

My first good news to you is that you don’t need to install any software to use it. You can access it in a web browser e.g. Edge, Internet Explorer, Chrome, or Firefox. 

You can also get the mobile app to stay connected from your mobile devices. Just connect through your web browser then do these 2 simple steps: 

1. Sign in to Office 365 or your organization’s corporate SharePoint Server site 
2. Simply click or select SharePoint tile in the app launcher navigation or top bar. So this is now your entry point into the wonderful platform! 

So what's in a SharePoint Online site?
 
Organizations use this platform to create websites. You can use the sites as a secure place to store, organize, share, and access data from any device. Depending on your level of authorization, you can build your intranet sites and make pages, document libraries, and lists. Add web parts to customize your content. Show significant visuals, news, and updates with a team or communication site. Discover, follow, and look for sites, files, and other people across your company. Even manage your daily routine with workflows, forms, and lists. Sync and store your files in the cloud, etc. 

You need to familiarize yourself to these basic elements: 

Site collection 
It is a top-level site or parent site that contains other sub-sites. Each site collection maintains its own security settings. Please take note that customizations created in a given site collection don't seem to be obtainable to alternative site collections. The site collection administrator has oversight of the entire site collection, including the sub-sites below it. 

Sites or sub-sites 
They are child sites within a site collection. By default, they will inherit permission settings from the main site collection, but the site owner can choose to stop inheriting those permissions. Sites may be custom-made with a unique look and feel from alternative sites 

Lists 
It is simply a list of data, much like an Excel spreadsheet. It has rows and columns to prepare, filter, and sort data. Its advantage is that a form may be given to the user, making data easy to capture. 

Document libraries 
A document library could be a mechanism to store content among SharePoint Online and OneDrive for Business. It’s essentially a list, but designed to store documents. 

It permits real-time document collaboration with co-authoring functionalities, eliminating the need for storing multiple versions of the same document. 

Wiki pages 
A wiki page could be a specialized page among a library in this platform that permits users to collaborate and contribute content to the page. Content can be updated on an instant; and you can add pictures, text formatting, hyperlinks, and more. 

Blogs 
They are simply sites that contain lists and libraries. They function the same way any blog on the Internet functions to communicate ideas and information. It can inherit the permissions from the parent site, thereby streamlining the management of users who have access to a blog. 

Discussion boards 
This allows online discussion throughout the organization. It provides a forum for members to interact during a dialogue wherever they will post queries and replies that may be viewed throughout the organization.
